Overage Rent Payments: What You Need to Know

Clear answers for when you’ve accidentally paid too much

Overpayments sometimes happen.  Maybe more than one resident made a payment, or autopay was left on after a move-out.  Here’s some general information on what to know, what to expect, and how our process works:


We Can’t Make Payments for You

All payments must be initiated through your tenant portal by you or your co-residents.  For security and compliance reasons, our team cannot create, adjust, or cancel payments on your behalf.  If you see an overpayment, you’ll need to request a refund or apply the funds to a future balance.


About Transaction Fees

When you make a payment online, the property management software charges a processing fee.

  • Our company does not control or collect this fee.

  • The fee goes directly to the software provider.

  • If a refund is processed, the transaction fee is not included—it’s retained by the payment processor.


Your Options if You Overpay

If an overpayment occurs, you have two choices:

  1. Apply it to next month’s rent

    • The overage can remain on your account as a credit and will automatically be applied toward your next rent payment.

    • This is often the simplest option since no further action is required.

  2. Request a refund

    • Once the payment clears in our account, we can issue a refund by check.

    • Refunds typically take 7–10 business days after the payment clears.

    • Transaction fees are non-refundable.


Tips to Avoid Overage Payments

  • Double-check autopay: If you’re moving out, turn off autopay once your final balance is confirmed and paid.

  • Coordinate with roommates: Communicate before submitting payments to avoid doubling up.

  • Review and confirm payment settings: Make sure your payment preferences in your tenant portal—and your co-residents’ portals—are 100% accurate.

  • Remember: All payments come directly from actions you complete in the portal. We cannot create, edit, or cancel payments on your behalf.


Best Payment Option

When paying online, we recommend using the e-check option:

  • It carries the lowest transaction fee.

  • It processes securely through the same portal.

  • It helps you avoid unnecessary costs over time.


If You Overpay

Don’t worry—if an overpayment happens, you have options. You can either keep the extra amount as a credit toward your next month’s rent or request a refund by check once the payment clears. The most important step is making sure your payment settings in the tenant portal (and your co-residents’ portals) are accurate.
